I have an IT issue. Who do I approach?

For any IT related issue or inquiry, you can approach IT Service Desk which is available 24/7 for your assistance. It is the communications platform that provides one point of contact to users globally by providing seamless technical assistance round the clock to our users with the help of comprehensive complain lodging procedures.

 

How do I get an access to AKU patient care applications?

For each department, there is a nominated application coordinator who assigns patient care applications rights to the staff of their area based on the job role. Thus, you are required to contact the respective coordinator to acquire the access rights for the required patient care applications.

 

How do I request a new email setup for someone?        

The HR department creates an email address for all new faculty and staff at the time of their hiring on eligibility basis. However, few users require to have a mailbox later due to change in role or position. Such users are required to fill out an online form available on https://itservicedesk.aku.edu or they can also reach out to the IT Service Desk for assistance.

 

How do I access my mailbox from anywhere around the globe?

Outlook Web App (OWA) is a web-based e-mail client that allows you to access your mailbox from anywhere around the globe. Outlook Web App gives users an experience similar to Microsoft Outlook without requiring the presence of the full mail client. The link to access OWA is https://mail.aku.edu/. Further, you can also configure your mailbox on desktop and mobile devices.

 

How do I configure my email on mobile phones?

Follow the steps given in the user-guide to configure AKU mailbox on your handheld device. For more information, please contact IT Service Desk.

 

How to get permission for sending email to a large audience?

A mass email can only be circulated through a departmental account after seeking approval of Head of Human Resources and Information Technology. For more details, please contact IT Service Desk.

 

How can I request an increase in mailbox size?

The mailbox size is assigned to you according to the HR grading system. Thus, IT will evaluate the eligibility of your mailbox size to enhance it accordingly. If you already have a mailbox size according to the eligible limit, IT will recommend you to archive your mailbox periodically by following the steps given in the user-guide. For any further assistance, please contact IT Service Desk.

 

How do I change my email password?

To change your current password or a default One Time Password (OTP), you can change it through https://itservicedesk.aku.edu or using Outlook Web App by accessing https://mail.aku.edu. It is obligatory to reset your password in every 90 days to maintain the security of your account. A system generated emails are sent to you as a reminders from 10 days before the password expiry date until you change your password.

 

How do I register my account for password recovery?

If you remember your current password, you can register yourself on IT Service Portal by following the simple steps given in the user-guide and provide the necessary details. This will help you to retrieve your password by yourself from IT Service Portal through https://itservicedesk.aku.edu. For more details, please contact IT Service Desk.

 

I forgot my password. How do I retrieve my account password?

If you are registered on IT Service Portal, you can recover your account password by yourself through our robust IT Service Portal. Please visit https://itservicedesk.aku.edu and follow the simple steps given in the user-guide. If you are not registered, please contact IT Service Desk for assistance.

 

I am getting an account locked out error. How do I unlock my account?

If you've entered your password incorrectly more than five times, your account will be locked out due to security reasons. You need to unlock your account through IT Service Portal by following the instructions

 

How do I update my telephone extension number in outlook global address book?

Follow the steps given in the user-guide to update telephone extension number in outlook address book.

 

How do I update my office location on outlook global address book?

How do I update my outlook photo?

I am not getting good Wi-Fi coverage within AKU.  What needs to be done?

If you are not getting a good Wi-Fi coverage within AKU campus, you need to report the issue to IT Service Desk. IT team will conduct a survey and will provide the recommended solution.

 

How do I get my laptop backed up?

You will be required to contact IT Service Desk. IT team will evaluate the requirement and provide an efficient backup solution.

 

How do I install a new applications on my laptop/device?

For installation of a new application/software, you need to lodge a request at IT Service Desk.

 

Does IT pay for new applications?

If the application is centralized and is used by AKU wide users, the cost will be borne by IT. However, for specialized software for a specific department or a project, the respective department will pay the cost.

 

Do I need to encrypt my AKU official laptop?

It is mandatory that all AKU owned laptops are encrypted. You are required to submit the F-tag of your laptop to IT Service Desk and engineer will contact for encryption.

 

How can I encrypt my external devices?

You can encrypt your external devices by following the steps given in the user-guide.

 

When can I have my laptop/computer replaced?

Your laptop/computer is eligible to be replaced if it is older than 3 years. If your department approves its replacement, you will be required to contact IT Service Desk for disposal assessment and raise PR for further action.

 

Can I buy the laptop that I am currently using?

You need to contact fixed asset department for buy back policy.

 

Can I buy the mobile phone that I am currently using?

If you are assigned an official device owned by AKU, you can start the process to buy back the device after 18 months from purchase date. For more details, please refer AKU Mobile Policy.

 

What end user equipment (laptops/computers/printers) does IT recommend?

IT Equipment Purchase Catalog is available on the AKU portal, for more details please contact purchase department.

 

How can I avail video conferencing / Zoom services?

You need to share meeting details i.e. title, date, time and venue to IT Service Desk for facilitation.

 

I am not getting good Cellular coverage.  What needs to be done?

If you are using an official AKU cellular connection and facing a disruption in cellular service, please reach out to IT Service Desk, we will take up the matter with respective service provider.

 

How do I get more information about IT Service Management?

How do I engage IT for a new business initiative?
